Starting a New Team Account

If you've recently started a team account with Doulado, we'd love to walk you through a few basics of the team subscription! Each new account is started with a "personal clients" tab, which is private to you and cannot be shared with a team. If you'd like the ability to share templates, clients, and collaborate with team members, adding a team(s) is the best way to do that!


With a team plan, you can invite up to 9 other team members to be a part of your account. With an invite (through team settings), they will be sent a link to create their "free" account and be able to access your team within Doulado. Depending on how your organization operates, you may want to invite other team members as additional owners, contributors or participants.


If you are a solo provider using a team plan, for HIPPA compliance and/or claims processing, you may consider starting a team (even if you are the only one on it for now), so that you can add a biller, admin, backup doula or any other team members in the future. You cannot "invite" other doulas to your "personal clients" tab, so it is helpful to start your business on a team if you have that option.

Business details added under the business settings in "View your Profile" from the main menu are only applied to your "personal clients" tab, and does not affect any teams. You can leave that business name blank in your profile settings to keep it listed as "personal clients" in the main menu.


Each team is its own "business", and those can be managed under team settings. When you are on that team, find the gear button and click "Manage Team".

Here are first steps we recommend when starting a new subscription on a Team plan:

  1. Add a "team" or multiple teams if you'd like
  2. Invite admin to team as owners, if they are going to a part of the account setup process
  3. Edit team business details
  4. Create a lead form to gather information from potential clients for your business (Clients>Lead Forms)
  5. Create, edit and add Templates to be shared across that team:
    1. Document templates for fillable contracts, agreements or consent forms
    2. Form templates for fillable intake forms, questionnaires, surveys or preferences forms
    3. Upload resources for your team members to use/share with clients
    4. Edit or add labels (service types) and associated form fields
    5. Create preset appointment templates for team members to streamline the calendar and connect service types or required documentation to each appointment type
    6. Add booking pages for clients or potential clients to book appointments themselves
  6. Connect with Stripe if you are accepting payments through Doulado invoices (Billing>Invoices)
  7. Add existing client information (if needed)
  8. Invite other team members, and assign them to clients to start managing client information through Doulado!

Another benefit of the team plan is being a step in the right direction of being HIPPA Compliant! When you start a team plan, your business and Doulado sign a Business Associate Agreement (BAA) to take on official responsibility together of protecting private health information stored within Doulado.
