Payers: Requesting Enrollment
What is Enrollment?
An enrollment is the process of getting approval from a specific insurance payer to allow Doulado and our clearinghouse to securely exchange claim-related information on your behalf using your NPI and Tax ID.
Before you can submit claims, receive Electronic Remittance Advice (ERA), or run eligibility checks, some payers require an enrollment process to recognize you as an authorized billing provider connected through the clearinghouse.
This process helps protect provider and client information, verify authorization, and ensure electronic data is exchanged securely.
When an enrollment is requested, the payer reviews information such as:
• Your NPI
• Tax ID
• Business details
• Any payer-specific forms or documentation
Once approved, your enrollment activates the related billing services within Doulado so you can begin using those features successfully.
Why Enrollment Is Required
Each insurance payer has its own rules and systems. While many allow claims, ERAs, or eligibility checks immediately, some require a one-time enrollment before these services can be activated through Doulado.
Enrollment connects your provider credentials with the payer and authorizes electronic communication through the clearinghouse. Depending on the payer, this may allow you to:
• Submit insurance claims electronically
• Receive ERAs (Electronic Remittance Advice) directly in Doulado
• Verify client eligibility through supported payer connections
If a payer requires enrollment, those services may remain unavailable for that payer until the process is completed and approved.
This process helps ensure claims are routed correctly, remittance information is delivered securely, and eligibility requests are tied to the correct provider credentials.
How to request enrollment
When managing payers in your Claims Dashboard, the Services column will show which claim-related services are available for each payer and whether enrollment is required.
Each service includes a status indicator to make this easier to understand at a glance:
• Green (✓): Service is supported and ready to use, no enrollment required
• Orange (!): Service is supported, but enrollment is required before it can be used
• Gray (×): Service is not supported for that payer (rare)
To request enrollment for any service marked in orange, click the ☝️ icon on that payer’s row and submit your enrollment request.

Always review the payers listed directly within your Claims Dashboard for the latest enrollment requirements and supported services. This example is intended for demonstration purposes only.
First Enrollment
When submitting your first enrollment request through Doulado, our clearinghouse requires a one-time verification phone call before enrollment processing can be completed. This brief call is a standard security measure used to confirm that you are authorizing Doulado to manage billing-related data on your behalf through the clearinghouse.
What to expect:
• The call is typically 30–60 seconds long
• It will be placed to the phone number listed for your NPI in the NPPES system
• Our clearinghouse is required to contact the phone number listed in NPPES directly for verification purposes
Once the verification call has been completed, we can continue processing your enrollment request. If you miss the call or experience any issues during the process, please reach out to support@doulado.co and we’ll be happy to help.
Enrollment Types
- Claims: Required for electronic claim submission with certain payers
- Remittances (ERA): Enables the automated processing of electronic remittance advice.
- Eligibility: Required for real-time verification of client coverage

When enrollment is requested, a support ticket is created and the support team will be in touch with specific instructions for the payer, which may involve:
- Completing a form
- Enabling options in provider and payer portals
- Or a "Quick Enroll" where the process is completed by the click of a button

Fee Disclosure: Enrollment services (Claims, Remittances, and Eligibility) typically incur a fee per service as defined by the business's active subscription plan.
Possible Errors
- If a service like ERA or eligibility is not supported, you will see an error message when you submit an enrollment request for it. Unfortunately, this service cannot be used with Doulado and that payer.

- If you attempt to use a service that requires enrollment, and it has not been completed yet, you may see an error message like this. To solve this, navigate to your claims dashboard and request enrollment.
