Journey - Notes
A Journey's Notes tab helps you keep thorough, organized, and secure records on a client's cycle of care or life event, with various customization options available.
This article is in reference to the Notes tab for a client's journey, but you can learn more about Visit Notes here!
A client does not have access to information in this area. Refer to Client Portal Overview for more details.
Adding and tagging a new note
- Open a client journey and go to the Notes tab
- Click + Add Note
- Type the note and add any labels you want to tag it with
- Adjust the date and time of the note, if needed
- Adjust visibility settings. if needed
- Click Save
Filtering with labels
Notes can be filtered to see only ones tagged with a specific label. To filter, just click on the label.
Managing labels
- To add a label, click + New in the labels area on the left
- To edit or delete a label, hover over it and click the Edit or Delete icon
Deleting a label will not delete the notes that were already tagged with that label.
Note labels are team-wide so any label added by anyone on the team will be seen by all team members.
Note Formatting
Make your notes clearer and easier to read by using these formatting options:
- Bold, Italic, and Underline for emphasis
- Bullet and Numbered lists for clarity
- Blockquotes for client quotes or key points
- Headings to structure longer narratives
- Horizontal lines to separate sections
- Hyperlinks to reference external resources
This formatting helps you create structured, readable notes that support workflows and can be useful for billing or documentation needs.
Note Visibility Settings
Visibility is set at the time of note creation. To change visibility later, click the edit icon under the note.
Choose who can see each note you create:
- Visible to all providers: Visible to anyone who can see that client profile.
- Teams: Any team owners, contributors and any participants assigned to the client can see this note.
- Solo: You and any doulas that you have shared this profile can see this note.
- Only visible to you:
- Team: Will not see this option.
- Solo: This note is private to you. Any doulas that you have shared this profile cannot see this note.
- Only visible to you and team owners:
- Teams: Any team owners, and the provider creating the note can see this note. If an owner is creating the note, only other team owners can see this note. Any contributor or participant that did not create this note, will not be able to see it.
- Solo: Will not see this option.
To edit the default visibility setting for your notes, you can edit your settings at the bottom of the client list. Owners can edit the default for the team, and solo providers can edit their own default visibility for note saving.
Editing or Deleting Notes
Locate the note in the client’s notes section, and select an icon below the note to make any changes or save it!
- Add label to add another label to the note
- Download to save or print this note, including basic client details.
- Edit to update text, formatting, or visibility.
- Delete to permanently remove it.
