Can Doulas Invoice an Organization through Doulado?

How can doulas submit invoices for payment through Doulado?

Doulado does not process payroll or issue paychecks. However, it provides tools to help track services and manage invoicing within your team.

You can use invoices to organize payments for team members or collaborators. Payments can be made through Doulado if they’ve connected Stripe, or handled externally and marked as paid.

There are three ways doulas can send invoices to an admin. In all cases, the admin linked to the Network profile will receive an email notification when an invoice is sent.

To pay invoices directly through Doulado, you’ll need to use one of the last two options.

Network profiles work similarly to client profiles, where team members can access in the same way:

  1. Owners can see all network profiles, add profiles and do any tasks within the profile
  2. Contributors can see all network profiles, and view things that are saved as "visible to all providers"
  3. Participants can only access network profiles that have been assigned to them, and only view things that are saved as "visible to all providers"

3 Ways Doula Can Invoice through Doulado

A Team invoice from a Team Network Profile

  • Create a Team Network profile using the email where you want to receive invoices
  • Works best if the billed service (fee) is consistent or limited to a few options
    • You’ll need to set up these services so doulas can invoice correctly
  • Easy to manage while staying within the same team
  • Invoices are only visible to:
    • Team owners
    • The doula who sent the invoice (as long as default visibility settings remain enabled)

Invoices created this way cannot be paid through Doulado.

A Personal invoice from a Team Network Profile

  • Create a Team Network profile using the email where you want to receive invoices, and assign it to the team members who will send invoices
  • Doulas can access this profile from their Personal Clients tab by enabling “Show team profiles” in the Network List

  • Each doula can set their own services within their personal business (useful if rates vary)
  • Invoices can be paid through Doulado if the doula has connected Stripe

Notes:

  • Invoices are not visible within the admin’s Team Network profile
  • They can be viewed and paid through the email notification (if paying via Doulado)
  • If paid outside Doulado, the doula can track and mark the payment manually

For Participant level team members, the invoicing team network profile would need to be "assigned" to them in a "view and edit" role so they can access it and create invoices.

A Personal Invoice from a Personal Network Profile

  • Each doula creates their own Network profile using the admin’s email address. (This requires each doula to set it up individually to bill the admin.)
  • Profiles are separate and not shared between doulas
  • Doulas can set their own services and receive payments through Doulado if connected to Stripe

Notes:

  • Invoices are not visible within the admin’s Network profile
  • They can be viewed and paid through the email notification (if paying via Doulado)
  • If paid outside Doulado, the doula can track and mark the payment manually

Customizing Payout Policies

To establish your team’s preferred invoice setup, we recommend that admins clearly communicate expectations with team members around:

  • How often invoices should be submitted (weekly, monthly, per visit)
  • What information should be included in the note.
    • Network invoices are not linked to a client or visit, so relevant details should be added to the note
  • Who is reviewing and paying invoices, and what the expected timeline is

While Doulado doesn't handle payouts directly, these tools help streamline internal workflows and ensure clarity for both providers and administrators.


Permissions: Who Can View or Edit Invoices?

Doulado offers flexible permissions for teams, ensuring the right people have access to view, manage, and submit invoices.

✅ Team Members (Participants assigned to profile, or any contributor)

  • Can create and submit their own invoices
  • Can view only their own submitted or pending invoices (if "Visible to the sender and team owners only" is checked)

👥 Admins (with owner role)

  • Can view and manage all team network invoices submitted through the platform
  • With a team invoice, have the ability to archive, or make a payment
  • With a personal invoice, have the ability to make a payment via email notification
  • Can adjust invoice templates under Team templates

In order to see the difference in invoices, below are some examples.

  • If the invoice shows your team’s logo and details, it cannot be paid through Doulado.
  • If it shows the doula’s personal logo or details, it can be paid through Doulado (as long as they’ve connected Stripe). Look for the “Make Payment” option at the bottom of the invoice.
