How can doulas submit invoices for payment through Doulado?

Doulado is not a payroll processor and does not issue paychecks to team members directly. However, it does offer simple tools that help your organization track services and support team invoicing internally. This makes it easier for administrators to gather necessary billing details about services completed by a team member or doula colleague. Payments can be made within Doulado if that team member or doula has connected their 'personal clients' tab to Stripe for payment processing, or it can be paid outside of Doulado and marked as so on the invoice.


Basically there are 3 ways that doulas can send an admin email an invoice, and here are some key points! With all 3 options, the admin associated with the Network profile would receive an email notification when a new invoice is sent by a doula. You would need to use one of the last 2 options in order to actually pay them through Doulado!


Network profiles work similarly to client profiles, where team members can access in the same way:

  1. Owners can see all network profiles, add profiles and do any tasks within the profile
  2. Contributors can see all network profiles, and view things that are saved as "visible to all providers"
  3. Participants can only access network profiles that have been assigned to them, and only view things that are saved as "visible to all providers"

3 Ways Doula can invoice through Doulado:

A Team invoice from a Team Network Profile:

  • You create a "Team Network" profile linked to the email you want to receive invoices on
  • Works if the fee ("service") billed is the same across the board, or only a few options are needed (You will need to add those "services" so they can bill you for your team services)
  • Those invoices cannot be paid through Doulado to the doula
  • Easy to do while remaining on same team
  • Invoice is only viewable within that admin Network profile by owners and doula sending the invoice, as long as the default visibility setting remains checked

A Personal invoice from a Team Network Profile:

  • You create a "Team Network" profile linked to the email you want to receive invoices on, and "assign" the profile to all of the team members that need to send invoices
  • Doulas can then go to their personal clients tab, select "Show team profiles" in the Network list to access that Team Network profile
  • The doula can set their own services in their personal business, if they all vary
  • These invoices can be paid through Doulado if the doula connects their personal clients tab to Stripe
  • Invoice is not viewable within the admin Team Network profile, but can be viewed and paid from the email notification (if paying through Doulado)
  • If invoice is paid outside of Doulado, the doula sending the invoice can track and mark that outside payment

For participant level team members, the invoicing team network profile would need to be "assigned" to them in a "view and edit" role so they can access it and create invoices.

A Personal invoice from a Personal Network Profile:

  • Doula can create their own Network profile with the admin email address (relying on each doula to set this up themselves to bill admin)
  • Has a totally separate Network profile from other doulas, and it is not shared amongst them all
  • Allows them to set their own services, and be paid through Doulado if they are connected to Stripe
  • Invoice is not viewable within the Admin Network profile, but can be viewed and paid from the email notification (if paying through Doulado)
  • If invoice is paid outside of Doulado, the doula sending the invoice can track and mark that outside payment

Customizing Payout Policies

To establish your team’s preferred invoice setup, we recommend that admins clearly communicate expectations with team members around:

  • How often invoices should be submitted (weekly, monthly, per visit)
  • What information should be included in the note. Network invoices are not linked to a client or visit, so relevant details should be added to the note
  • Who is reviewing and paying invoices, and what the expected timeline is

While Doulado doesn't handle payouts directly, these tools help streamline internal workflows and ensure clarity for both providers and administrators.


Permissions: Who Can View or Edit Invoices?

Doulado offers flexible permissions for teams, ensuring the right people have access to view, manage, and submit invoices.

✅ Team Members (Participants assigned to profile, or any contributor)

  • Can create and submit their own invoices
  • Can view only their own submitted or pending invoices (if "Visible to the sender and team owners only" is checked)

👥 Admins (with owner role)

  • Can view and manage all team network invoices submitted through the platform
  • With a team invoice, have the ability to archive, or make a payment
  • With a personal invoice, have the ability to make a payment via email notification
  • Can adjust invoice templates under Team templates

In order to see the difference in invoices, below are some examples. When the team's business logo and details appear on the invoice, it cannot be paid through Doulado because that payment is connected to your team's account. When the doula's personal logo or details appear on the invoice, it can be paid through Doulado if they are connected to Stripe (will see 'make payment' icon at bottom of the invoice).
