We’re excited to share a fresh round of updates to Doulado — all designed to make managing your practice smoother, smarter, and more personalized.

These new features give you even more control over client journeys, enhance how you customize documents, and introduce tools that bring added flexibility to your workflow.

Read on to discover what’s new and how these updates can support your business as it grows.


#1 Client Journey Upgrades

  • Unlink Providers: Clients now have the option to unlink from providers when they have reached out to multiple doulas using Doulado. In efforts to avoid confusion, this resolves the issue of doulas being sent notifications as if they are moving forward with them when they have actually gone in a different direction. This option is located in the client's portal under their personal profile. Within the journeys section, they now have a un-link button to use to remove any providers that they are not moving forward with.

  • Merge Client Profiles (Journeys): Occasionally, a situation occurs where there are two duplicate profiles created for the same client in the client list. You now have the ability to merge those client profiles! To merge two client profiles together, go to the client profile that you want to "remove" and select the Merge button under Quick Stats.

From there you can customize the merge by selecting the profile to merge into, define whether to delete the prior profile after the merge is completed, and select which client data to merge into the other profile.

  • Default payment method: There is a new "client settings" to allow you to select the default allowed payment methods for clients. If you are connected to Stripe, and accepting payments through Doulado, you can edit whether a client has the option pay by either method or only one of the options. Now you can set that default business wide, so every new client added will only have the default methods allowed.

Changing this allowed payment methods setting does not affect existing client profiles, only new profiles added after the change.

  • 'Per journey' portal access: With our last update, we made a change so that the client portal now can be enabled on a per journey basis, so inviting a client to the portal requires information about the journey and whether it's already been enabled for that journey. You can now find the "enable client portal" in the menu where you are currently accessing the "view your profile" from within the client profile. If you invite your client when you are entering their info, it will still send the invite that way as well!

    The reason for this is to eventually be able to "disable client portal" when the journey is completed with a future update. So now the portal management can be done per journey to allow the doula to control it!

#2 Smarter Document Tools

  • Send batch of paperwork: Originally, clients could only be sent one document or form at a time. As an alternative, a new option was created to send paperwork in batches to clients. Doulas can accumulate drafts of paperwork and send all the drafts at once if desired. When under the Paperwork tab in the client profile, you will have a new button available called Send Drafts.

You will need to create a draft of each paperwork by starting the process as normal, then selecting "save draft & close" instead of send. The paperwork log will list all of the draft paperwork under that client that you can choose from to send. You also have the option of how to send it on whether the document needs to be completed or if it needs to be sent and then returned. Lastly, you can write a custom message for the recipient.

  • Pre-Filled Entries: Additional pre-fill options have been implemented to make document customization easier. The following options are now available to you as autofill for text boxes in both document and form templates, and are pulled from the client profile if they are saved there:
    • Client Address
    • Client Date of Birth
    • Client Phone
    • Client Email
    • Client ID (pulled from custom field)

  • Paperwork Sorting: To make locating client paperwork easier, we have converted three columns under the paperwork page into sortable columns. Now you can sort by the sent date, the completion date, or the document name to make it more simple when locating a specific document.

  • Paperwork Preview: When filling out the fillable fields in a template before sending to the client, these fields would remain blank or "hidden" when in preview mode. This sometimes led to some confusion when reviewing paperwork because the fields appeared missing, even though you entered information, and you were about to send to your client. We have changed preview mode to now reveal those filled out fields, rather than mask them, as well as give you ability to scroll through each page to view before sending!


#3 Team Management Enhancements

  • Claims Dashboard Permissions: This change restricts editing, deleting, and adding payers to owners only. If contributors and/or participants have access to the claims section of your team, they will no longer be able to manage payers for that team.
  • Add Reminders for Team Members: Reminders can now be set not only for yourself, but for members of your team as well! When going to the Reminders & Tasks menu and creating a new reminder, there is now an option to assign that reminder to a specific individual on your team. Once you assign a reminder to someone, it will then populate in their reminders list, as well as show on yours!

When a reminder is assigned to someone besides the person creating it, that assignee or team member will receive an email notification that they have been assigned a new task. There are also reminder notifications sent out about the task 3 days before the task is due, as well as 1 day after it is due (if not marked as completed)!

Once that assigned task is marked as completed in the list, the "owner" or person who created that task will get an email notification letting them know it is done!

  • Add Payment Method in Funds Deposit: In order make it easier to add to a funds balance, we have added a way to add a payment method when adding funds. You can select from your saved payment methods in the dropdown, or add a new credit card or bank account right on this screen, as seen below! Bank accounts will need to be verified to use, but check out this article for more information on adding payment methods.

  • People view: Team owners now have an option to to view their team member's calendars individually to see their availability, scheduled events and on-call windows! This "people view" is only available team owners, and can make it easier to schedule clients and appointments during your team member's available times! It can be found at the bottom of you main calendar next to calendar settings.

When selecting a new team member to view, you will view their calendar based on your current calendar settings! For example, if you have "other's events" turned on, and "personal on call windows" turned off within your calendar, when you go to view a team member's calendar, you will still also see events scheduled for other team members, and not see that person's personal on call windows. You may want to adjust your personal calendar settings based on what you want to see when checking team member's calendars!

#4 Billing Improvements

  • Billing and Visit Status Filter: More filters have been added! To make searching through visits easier, we added two new filters to help you find what what you need. A visit status and billing status filter can be found on the top of the main visit log in the Billing > Visits section.

  • Remove Send Invoice (draft): Sending an invoice has changed slightly to avoid accidentally sending a draft invoice to a client when it is not ready. The only way to send a draft invoice now is to open the invoice back up, and select who to send it to at the bottom!

  • Client Add Payment Method: We've changed the add payment options for clients, to make it easier for them when paying an invoice. Instead of showing a blank dropdown when there isn't a payment method saved, we've changed it to hide the dropdown and instead show an add new payment option. This change was made to make the interface more user-friendly for clients. This article is also helpful to show clients how they can add a saved payment method.


#5 Claims & Enrollment Tweaks

  • Claims Enrollment: We have changed enrollment options to make it easier when requesting an enrollment. Doulado will now check on whether enrollment is needed when you are starting a request. You may receive an error if you request enrollment for "claims" for that payer, but that is not required. The enrollment bubbles on the claims dashboard are to recognize which type of enrollments (claims, eligibility or remittance (ERA)), if any, are required for that payer. The enrollment process is usually only done once per business or provider, and then it is completed for that payer.

In this example, only eligibility enrollment is required for the Payer ID HPSM1, but enrollment for all 3 services is required for Payer ID 57016. This enrollment column is simply showing you what is required for that payer, so that you may request the enrollment process be started if needed.

  • ERA Fees: Originally, the ERA functionality within Doulado had no fees associated with the electronic transfer of remittances. As Doulado grows, and the claims processing and related features are being used more and more, our costs from our clearinghouse have increased. To remain equitable and be able to continue this feature, any new ERA enrollments will now have a $1 fee for each remittance transferred through Doulado. That fee, like other fee-based features will automatically be withdrawn from the Funds Balance.

Receiving ERAs through Doulado is completely optional and is not required in order to process claims through Doulado. To save on fees, you can receive your EOB information directly from the payer via mail or their provider portal!

#6 Miscellaneous Fixes & Features

  • Document checkbox alignment: We have added an adjustment to the text editor to have better alignment for checkboxes within your templates. Previously, checkboxes would show in line when editing but move slightly out of line in a PDF view. We have adjusted the padding to keep those in line to keep your documents looking perfect!

  • Faster SMS Messages: Our technical team did some magic to improve our recent SMS messages addition. With this update, messages should be sent and received by clients faster!
  • Pre-fill Client Address on Booking Page: A new pre-fill has come to the booking pages to make it easier for clients to fill out these forms. If a blank option is left as a location option in a booking page, there will be an option to select "home address" in the dropdown. Choosing this option will automatically fill the client's full address (as long as it is saved in their profile) into the "location" of the event booking.

  • Clickable PDF Links: More clickable links have arrived! These links can be added to paperwork sent to clients for submission. Previously, when a client filled out a submission any links in the document were not clickable. Our technical team has changed this to allow these links to be interacted with and opened.
  • Print Lead Form: An option has now been added to print and/or save a lead form created within Doulado. To print your lead form to be able to use offline or while not using the application, use the direct link to open it in your browser, go to your browser's print option, and press Print!
  • Custom Notifications: Custom email and text message templates are here! You can now create your own custom notifications to send to clients via email or message. To create your new template, go to the Notification Templates page and select the custom category at the bottom of the list. Select the plus icon to add a new template, customize your template, and select Save and Close. You can create both email and text message custom templates in order to send to your own personal messages to clients.

  • Sending a custom notification: While we continue to build out the automations and workflows, these custom emails (or text) notifications can be sent manually through the client profile as needed! Once your custom templates are created, navigate to the overview page within the client profile. Scroll down to the quick action buttons, and select send! There you can select which template, and format you would like to send it to your client in and it will send right away. If you want to send via email and SMS, you could go through that process for both template formats!

  • Time Zone Change by Provider: To provide more flexibility, the application now allows you to adjust the time zone of your client. You can edit their time zone by navigating inside your client's profile, selecting the 3 dotted menu near their name>view profile>edit profile, navigate to the third menu, and use the dropdown option to change the client's time zone.

  • Updated calendar overview icons: A button has been added to the Calendar Overview to quickly create a claim from an event. You can click on the event title to pull up the overview, and select create claim. This will start a new claim with that client's information as well as the visit dates automatically added. Additionally, after adding a note to the visit, the note button will appear as filled to quickly inform you that notes have been added for this. You can revisit the note using that button as well to add more information or review.

  • Archiving Options: Previously when archiving a client profile, everything attached to that client was archived as well. We changed this option so that when archiving a client, you will now have more flexibility on what to archive or leave. The options to archive or leave as visible in Doulado are:
    • Invoices/Payments
    • Visits
    • Expenses
    • Claims

  • Mobile view for sending paperwork: Previously trying to send paperwork to your client from a mobile device was hard to navigate. We made some adjustments so that task is now more mobile friendly! However, we do recommend not customizing templates before sending from a mobile device.


#7 Telehealth & Booking Boosts

  • 3+ Telehealth Participants: Telehealth meetings have changed to allow more than two participants! Instead of allowing access for only the provider and primary client, more individuals can be sent the link and can join a meeting as a guest. This allows flexibility for client's additional support people, and/or more than 1 provider to join the call. You can open the video room, and click to the "copy link" icon in the top right corner in order to share with others. They will need to enter their name upon entering, and be able to join the call!
  • Attach Label to Booking Link: Labels can now be added to booking pages to further customize what audience a book page targets. When a label is attached, the booking link will only show in a client's portal who has a matching label. To add a label to a booking page, go to Templates>Booking Pages page, select the three dots next to the title, press the Edit button. Then you can assign labels to that booking link by using the Match Labels dropdown menu to select either 'Any Selected Labels' or 'All Selected Labels'.

If you select "All selected labels", the client's profile would have to be assigned all of the labels you have selected for that booking page, in order to be able to access that booking link in their client portal!
