We’re thrilled to introduce a fresh set of updates aimed at improving your experience and simplifying practice management. These exciting enhancements include controlling payment methods client can use, updates to support and help articles, pre-filled entries and file upload in form templates, and other exciting updates!


We are grateful for our users in allowing us to continually develop and add to Doulado to create a seamless and intuitive platform for doulas and their clients. Check out the article below to explore the latest features and how they can benefit you!


#1 Invoicing Updates!

  • Controlling payment type: Now, you can easily control the type of payment accepted per client. This means you can specify whether the client can use a credit card and/or ACH/Bank transfer to pay their Doulado invoices! To manage each client's payment type options, navigate to the quick stats section inside their client profile, select edit and uncheck payment options. Clients will be defaulted to be able to pay with either option, but you can edit as needed.

  • Verification process for bank transfer payments: Doulado does not yet have instant verification for bank accounts, but it is on our roadmap! If you turn off card payments for a client, when they go to pay an invoice they can add their bank information, but will still have to verify the account in order to actually make that payment. It usually takes about 2 business days to receive 2 small verification deposits in the bank account to verify. If clients have their payment method already saved, they can easily select it as an option to pay an invoice. Here is more information for clients about saving payment methods!

  • Invoice templates: Creating and customizing invoices is now easier than ever with our new template system. You can create a new template (as an owner, if on a team plan) from the Templates tab under Invoices in order to streamline the invoice creation process that best fit your business needs. This process is another step towards being able to add workflows and automations in Doulado in the future!
  • Create templates: When creating a new invoice template, you can add a title/name, add multiple services and/or packages and set up the preferred installment/deposit schedule for that type of invoice!

  • Using an invoice template: When you (or team members) go to create a new invoice, they will see an option to start a blank invoice or use a template. A template is a base to start off of, but they can be edited to accommodate specific client needs!

  • Service description showing: When editing your services or packages, there is now a checkbox to decide if you want to show that description on an invoice. If the box is checked on that service, the description will show up below the service name on the client's invoice. This will be helpful to identify the details of your services within the invoice, and also provide more information for reimbursement purposes!

Adding a description for a service will only affect future invoices where that service is added, and will not add descriptions to previously sent invoices.

#2 Mobile View Fixes

  • Booking link view: We adjusted the view of the booking link when embedded into your website so that the text wraps making it easier for clients to schedule their own appointments from a mobile device!
  • Telehealth adjustment: The camera images were adjusted so they are not covering the shared screen when a client is joining a telehealth call from a mobile device. The client and doula images move to the corners to have the shared screen in the middle, which they can also zoom in on as needed.


#3 Templates Controls

  • Unpublishing resources: You can now mark resources as “Copyrighted” in the template section, as well as in the client profile files tab. When you go to mark a client's journey as Inactive, Complete or Archived, there is now an option to "un-publish copyrighted materials". If this is selected, any files that have been shared to their profile that are marked as copyrighted (box checked), would be removed from their portal.

  • Change status: Currently the client still has access to their portal and files shared even after a journey is marked as inactive, complete or the doula archives that journey. Some files such as their completed paperwork, invoices, contracts, etc. would most likely still need to be accessible by the client, but you can now choose to remove information that you "own" from their portal access when their journey is complete or no longer active. You can edit their status and choose unpublish copyrighted files from the main client list (pencil icon) or within their profile in the quick stats section.

Editing the copyright status of a resource in your templates section will not currently affect the copyright status of that same resource if it has already been shared to a client. You can go into a client profile, go to the files tab and "edit" a file to check the copyright box if needed. Moving forward after this update, once a resource template is marked as copyrighted, it will default to be "copyrighted" each time it is shared with a client.

  • Published to client portal: If a file in the files tab has a small orange dot in the right corner, you may hover over that dot to see "published to client portal". If it has an orange dot, it means that the client has access to view that file from their portal. If it does not have an orange dot, it means that it is only saved to the client profile that is doula facing, but not viewable by the client in their portal. You can edit that individually by clicking the little 3 dots in the right corner, and select edit. When you decide to unpublish something or remove copyrighted materials, that orange dot should disappear showing you that the client can no longer view that file in their portal.

  • Pre-filled entry in forms: Similar to document templates, we have added some pre-filled entry options to automatically fill out information within a form such as client name, provider name (doula), due date, date, and time. For example, when the "client name" is selected as the pre-filled entry, it will automatically populate in that line when sending to or filling it out within that client profile.

  • "Save Draft" in templates: We have added a "save draft" button when working on document or form templates to save your work as you go without having to close the template out! Doulado does not currently "auto-save" so it is important to save your work as you go, and this step has made that easier to do!

  • File upload to forms: Similar to a lead form, we have added a field to the form templates to be able to request files be uploaded within a form. When you add a file upload field, they can upload to a form and it will save to the "Files" section of a client profile. You can add multiple different fields to one form to collect multiple files.

#4 Claims Updates

  • Self serve claims setup: We have enabled the ability for doulas to follow a few steps within their account to turn on claims for themselves when they are ready! The claims processing feature does require an annual subscription to a team plan, as well as signing a BAA and the Claims Processing Agreement. We also highly recommend reviewing our claims support articles to familiarize yourself with the process in order to be successful! Once you complete each step, it will bring you to the next and allow you to activate the claims feature in your account once complete.

  • Autofill individual NPIs (Teams): When working with a team in Doulado, each team member can save their individual business billing information and NPIs in their personal profile. When a claim is started, you can select a team member from the dropdown, which will auto-fill the rendering provider NPI (box 24J) for that team member, and their billing provider information (box 33) if "billing provider" box is also checked.

  • Link Box 32 with 32a/b: When filling out Box 32 for service facility location information, we have now connected Box 32 a and Box 32 b into that dialogue box to enter it all together. When entered on a claim within your business, that will save for future use. Next time you fill out a claim, you will see that service facility information in a dropdown to easily select again!

  • Payer ID visible: You are now able to view the name and Payer ID when you are submitting a claim so you can be sure they have the right one. When starting a new claim, you can search by either name or Payer ID to find the correct payer. Once selected, both name and ID will appear at the top of the claim! It is important to make sure you are submitting your claim to the correct payer.


#5 Various Administrative

  • Availability view in booking link: We added a blue bubble on each date in a booking link that has available times for clients to book in order to make it easier to see when dates have available times to book! If a date on the calendar does not have availability, it will remain blank.

  • Text over hyperlinks: You can now format to have your text appear over a hyperlink with a small formula. When adding a hyperlink, you can include the text in a bracket [text] with the link you want to appear within that text directly after it. You can see an example below in a message to a client!

Example: [here]https://app.doulado.co will appear as here when sent/saved!

  • These text over hyperlinks can now be saved in the following sections of Doulado:
    1. Event descriptions
    2. Lead form descriptions and questions
    3. Checklist descriptions
    4. Messages

It is important to have no space between the text bracket and the full hyperlink!

  • Delivery Date-> Birth Date: We listened to your feedback, and the system will now recognize both "Delivery Date" and "Birth Date" as the date of a baby's birth. When this date is added to the profile info section of a client profile with a full date (MM/DD/YYY), it will automatically stop counting the gestational age, calculate the term and start to count "Baby's Age".

  • Easier access to help articles & updates: We've integrated our help articles into the support channel in order to give you easier access to find answers and still be able to reach out if you can't find the answer! You can access this from within your main menu by clicking get help!

  • Recent changes banner: When we release a round of updates, you will now see a banner across the top of your Doulado home screen linking you directly to the recent changes article so you can learn all about the new updates! We encourage you to view this updated article so you can learn about new features and how to use them. Click the learn more here to pull up the article!


  • Ability to upgrade team size: Within your team settings, there is a banner at the top to view your available seats at a glance, as well as add more seats as necessary from your account. The paying owner of the team plan will have the option to upgrade their team size from the team settings under "manage team" in the main menu. If you'd like to increase your team size, you can add additional team members for $5/month or $60/annual, which automatically adjusts based on your current team subscription method. The charges will pro-rate accordingly!


  • Client portal journeys: A client journey will only appear in a client portal when marked as active in the doula's account. When a client goes to upload a file in their portal, if they have more than one active journey in Doulado with various providers, they will now see the Team/business name or doula's name (solo) in front of their name to correctly identify which person/journey they are trying to upload a file to.

  • File center scroll: We've updated the screen where clients can view their shared files from the email notification, and be able to scroll if there are more than what fits on the screen. From this screen accessed by clicking the link in the "files shared" email notification, they can see all of their shared files as well as upload their own file. If the client has access to their portal, they can also easily view them all inside their portal.
