Claims Payments
There are two different ways that a payment can be added to a claim within Doulado. You can manually enter in payments as you receive them from the payers, or sometimes payers offer ERA (Electronic Remittance Advice) so that the payment can automatically be notated in a claim. Either way, the payments from claims are not processed through Doulado like invoice payments are. You can setup an EFT, or receive paper checks as payments.
An electronic funds transfer, or EFT, is the method used by health plans to order a financial institution to electronically transfer funds to a provider’s account to pay for health care services. Authorizing Electronic funds transfer (EFT) as your payment method will speed payment delivery by depositing payments directly to your bank account, allowing quicker access to funds paid to you.
An electronic remittance advice, or ERA, is an electronic version of an EOB (explanation of benefits) from a health plan to a provider about a claim payment. An ERA explains how a health plan has adjusted claim charges based on factors like:
- Contract agreements
- Secondary payers
- Benefit coverage
- Expected copays and co-insurance
Option #1
Whether you receive a check in the mail from your payer, or have EFT set up, you can apply the payment manually to your Doulado claims by completing the following steps! Each Payer has their own process for signing up for EFT. You will need to reach out to them directly, and follow the steps they give you. To manually enter a payment, you can:
- Navigate to Billing -> Claims and select the claim you want to apply a payment to.
- Select the Payment option at the top of the claim
- Select the option + New Payment
Enter the details of the payment
- The payment will now display in the remittance tab under Billing -> Claims -> Remittances
You can also view claims balances and payments in your Doulado dashboard! The remittances will be tracked in the "Claims Payments" tile.
Option #2
Some payers offer the option of setting up an ERA (Electronic Remittance Advice), which will allow the claims payment information to be sent directly to Doulado, through an electronic EOB, and then will display automatically in the remittance tab. Payers sometimes may require you to sign up for an EFT (Electronic Funds Transfer) in order to use ERAs, but it differs for each payer.
If you click on the remittance, you can view the remittance summary with information from the payer on payments.
If you are interested in seeing if your payer supports ERAs, please email support@doulado.co so that we can check if the payer offers that option! Each payer has its own policies, but ultimately the process of setting up an ERA starts with Doulado and our clearinghouse.
