Tasks and reminders overview
Whether you're managing your own daily workflow or coordinating with a team, our built-in task management tools help you keep everything organized, timely, and visible. You can create and assign reminders, track progress with statuses, sort by priority, and get automatic email notifications to ensure nothing slips through the cracks. In this article, we’ll walk you through how to create new reminders, assign tasks to team members, organize your list, and stay updated every step of the way.
Adding a new reminder
- Click the Reminders & Tasks (list icon) button at the top bar
- Click + New Reminder
- Type in a name for the task, due date, assignee (optional) and a description (optional) to provide notes or detail about the task
- Click Save
- The new reminder will be added at the bottom of the list. You can move it up or down to whatever place it fits with the other tasks, click the triangles next to the date column to sort in various ways!
Add a reminder for team members
Reminders can now be set not only for yourself, but for members of your team as well! When going to the Reminders & Tasks menu and creating a new reminder, there is now an option to assign that reminder to a specific individual on your team. Once you assign a reminder to someone, it will then populate in their reminders list, as well as show on yours!
When a reminder is assigned to someone besides the person creating it, that assignee or team member will receive an email notification that they have been assigned a new task. There are also reminder notifications sent out about the task 3 days before the task is due, as well as 1 day after it is due (if not marked as completed)!
Statuses, due dates and priority
Tasks and reminders can be given a status to help track progress, a due date to help with timing, and priority to assist in organization and focus.
- Status: Shows as a color label on the reminder, with options of Not Started, In Progress, and Completed, You can click on the status button to change from one to the other.
Due Date: Shows as both a date and a dynamically calculated number of days remaining, or an overdue indicator.
The bottom task is overdue and shows in red - Priority: This is controlled by ordering the tasks in the sequence of your choosing. Re-order the tasks using the gripper on the left
Completing a task
When you complete a task, you can change the status to complete, and it can remain in the list for as long as you want. When you are done referencing it, you can archive it with the Archive button, or delete it with the trash icon.

Reminder Notifications
Email notifications are sent out to the person the task is assigned to 3 days before a task is coming due, as well as 1 day after it is due. For example, if you have a task set as due on 5/25/2025, the assigned doula, whether yourself or another team member, would receive a reminder email on 5/22/2025 and 5/26/2025 if they have not yet marked the task as complete!
If the task was assigned to someone else, and gets marked as completed in the list, the "owner" or person who created that task will get an email notification letting them know it is done!
