Workflow: Managing workflows for individual clients
Once a client is in a workflow, you can manage their individual tasks and monitor their progress. Tasks can be skipped when they aren't applicable to a specific client, and task statuses make it easy to see what has been completed, what is scheduled, and what may need attention.
Skipping Workflow Tasks
Sometimes a workflow task isn't applicable for every client. Instead of completing it, you can skip the task so the workflow continues to the next step.
To skip a task:
- Navigate to the workflow and phase.
- Select the client's icon at the top to expand their workflow
- Locate the task you'd like to skip.
- Click Skip at the end of that task's row.
Once a task has been skipped, the workflow will continue to the next task once all previous required tasks have been completed.

Notes:
- Tasks can only be skipped while the workflow phase is active (not paused).
- Skipping a task only affects that client's workflow and does not modify the workflow template.
This feature is especially helpful for clients who begin care later in pregnancy and no longer need earlier educational emails, paperwork, or reminders.
Viewing Workflow Progress
Within each client's workflow, every task displays a status so you can quickly see what has completed, what's scheduled next, or whether any action is needed.
Each task will display one of the following statuses:
| Status | Description |
|---|---|
| Pending | The task is waiting for the previous task(s) to be completed before it can run. |
| Scheduled | The task has been scheduled and will automatically run on the displayed date and time. |
| Complete | The task has successfully completed. The completion date and time will also be shown. |
| Skipped | The task was intentionally skipped and will not be completed for this client. |
| Error | The task could not be completed successfully. You'll receive a notification so you can review and resolve the issue. |
These statuses make it easier to understand where a client is in their workflow and identify any tasks that may need attention.
