At Doulado, we’re always working to improve your experience and make your workflow smoother, more intuitive, and more powerful. Many of the updates below were inspired directly by feedback from our amazing community of doulas and care professionals. Whether it's making templates easier to manage, improving client communication, or enhancing billing features, we’re committed to turning your suggestions into real, impactful changes.

#1 Templates Changes

  • Archive for Paperwork Templates: Along with being able to delete unused paperwork templates, you now have the ability to archive them as well! This ensures easier retrieval and also helps your paperwork section become less cluttered. The archive option can be found in the small 3 dot menu on the template tile. You can view your archive (and unarchive templates) by clicking "View Archive" at the bottom-right of the templates page.

  • Per Lead Form Notification Templates: Currently, by default, the lead form confirmation email is sent out when a lead form is submitted by a client. Now, you can edit which message will get sent when a lead form is submitted, and you have the option to create a custom email notification. This is helpful to have varying messages go to potential clients depending on the services requested or form they submit!

In order to setup a custom email to be sent after a lead form is submitted, you can click the small 3 dot menu on the lead form tile, and select edit. From there, you can select from the dropdown of which email is sent upon completion!

Custom email notifications can be created in the Templates>Notifications section. If you scroll down the bottom category, you can open your "custom" messages. Click the + sign to create new custom email notifications to send to clients!

  • Multiple Templates: Wherever you can use a message or note template (messages, client notes, visit notes, invoice notes and paperwork sending messages), you can now use two or more templates. Previously, adding a second template would replace the first, but now they can be combined as needed! You will have the option of adding the additional template to the text where your cursor is currently at.

Templates can be added or edited by clicking the magnifying glass icon in the bottom right of a text field, or from the "Saved Text" icon on the top right of your account next to "Reminders"!

  • Saved Text: Viewing and adding new templates now became more accessible. Besides from the various locations those templates are used (ie. invoice notes, messages, etc), you now have the ability to view all of those templates in the "Saved Text " button. Located at the top of the screen, this opens a menu to view all templates where you can preview, edit, duplicate, delete, or even add new ones quickly from one location!


#2 Notifications and Messages

  • Edit message subject: Message subjects can now be added when creating a new message rather than afterwards. A textbox will be available to add a subject line, which is optional. You can also still edit a subject line of an existing conversation by opening the thread, and clicking edit subject at the end of that row.

  • Event Scheduled Notification: We have implemented a new notification that is sent to the doula when an event is scheduled on their behalf by a team member. This notification will send an email to the assigned doula containing the event details, and will be automatically sent when a new event is scheduled or an existing event is updated.

  • “Reply To” for Email Notifications: You can now set a custom Reply-To address for email notifications, directing client replies to the inbox you choose. If left blank, most client replies will go to the main account owner’s email.

Some notifications—like the default lead form confirmation, new message alerts, and portal invites—are set to send replies to our support channel by default. For these, we recommend adding your business or admin email in the Reply-To field so clients can reply directly to you.

  • Reset Event Reminders: When an event’s date or time is updated, reminders for both the client and doula will be automatically reset. This ensures that updated notifications are sent out based on the new schedule, so everyone stays informed and on track.
  • Visit Status Change Message: Team owners and solo providers can configure visit settings to determine whether a message to the client is required when updating a visit’s status. The available options are: Optional, Required for Canceled and Confirmed statuses, or Required for All Statuses. Those settings can be managed at the bottom of the Visits tab within the Billing section!

#3 Claims and Invoicing

  • Batch Visits in a Claim: When starting a new claim from a visit, you’ll now see a menu displaying all visits associated with the same client and provider. Simply select any additional visits you'd like to include—up to 6 visits can be linked to a single claim.

To see CPT code options in the services dropdown here, you will need to add your codes into the "Covered Services" of that individual payer within your claims dashboard.

Once a claim has been started from the visit, the claim icon will turn gray and link to the claim created for easy access!

  • Retainer: To help increase client understanding around non-refundable payments, we’ve updated the term “deposit” to “retainer” throughout the Doulado platform. This change is reflected on invoices and in other areas of the platform, and it applies to both new and existing invoices.

  • Invoice Surcharging: You now have the option to enable invoice surcharging—a way to pass payment processing fees on to your clients, if you choose. Based on the client’s selected payment method, applicable fees (for credit card or bank transfers) can be automatically added to the invoice total.

    To enable surcharging, simply go to your Invoice Settings and navigate to the Surcharges section. You’ll have the option to turn on fees for bank accounts and/or credit cards, and you can also customize the description that appears on the invoice for added clarity.

If you have surcharge fees enabled—for credit cards, bank transfers, or both—your clients will now see a clear message at the top of the payment screen when paying an invoice. Based on their selected payment method, the system will calculate any applicable fees and display the updated total before they confirm and complete the payment.

When a payment includes processing fees, the surcharge will appear as a separate line item in the Invoiced Charges section. This ensures the payment and invoice totals match for accurate balancing, while also keeping a clear record of the surcharge. The description you enter in Surcharge Invoice Description (in your settings) will be used as the line item label on the invoice.

Disclaimer: Before enabling invoice surcharging, please ensure you are in compliance with all applicable local, state, and federal laws. Regulations regarding passing surcharge fees on to clients vary by location and payment method, so it is your responsibility to verify whether surcharging is permitted in your area.

#5 Teams Changes

  • Eligibility Checks Permissions: Real-time eligibility checks are now limited to team owners and contributors. Participant-level team members no longer have access to this feature.

  • View Team Clients in Personal Calendar: Viewing calendar events now became easier in the team environment. Rather than bouncing between different calendars, team-wide events and your team-assigned clients can now be viewed directly from your personal calendar. You can manage your calendar settings, and allow "team-wide events" and "client events" to show in your personal clients calendar. This will show all events from any teams you are apart of, and any team client events assigned to you.


#6 Client Journey and Portal Changes

  • Client Name showing in notes: The client’s name will now appear in the note creation menu, serving as a helpful reference for correct spelling and clarity while writing notes.

Reminder: Anything labeled as a note (client profile notes or visit notes) are not visible by the client. These are doula facing notes, and visibility can be set to determine which other providers or team member levels can access the note.

  • Client Portal Services: Clients can now view their purchased services directly from their client portal! This new feature mirrors the doula’s view under the Services tab of the client journey, giving clients clear access to:
    • Services included with each invoice
    • What has been used vs. what remains

This also applies to $0 invoices, making it easy for both you and your client to track services provided through insurance. In order for items to appear in the "services" section, they do need to be populated via an invoice!

Services can manually be marked as used in the client journey services tab by clicking on that row and marking the quantity used. In order to automatically mark invoiced services as used, please refer to this article to link your Visit Log to Paid Services!

  • ‘View Profile’ in Checklist: We have now added a quick link to a client's profile when viewing the client checklist. If you click on their icon, and open their individual checklist, clicking their name will now become a link to a pop out of their profile for easier navigation.

  • Export Client Info: There is now an easy way to export more details in your client info! There is a new option to include the profile info fields, which are the custom fields that you create within client profiles! The export will still include client name, address, phone number, etc as well as things that you map the profile info such as due dates, delivery dates, providers, etc!

📢Team owners: This also applies to your Network list. You can easily track team members or contractors information such as: certification date, NPI #, Insurance #, etc and then export all of that information into a spreadsheet as needed!

  • Visit Log Date Filter: You can now sort visits in both ascending and descending order for easier navigation and quicker access to specific entries. Simply click the "Date & Time" column header to toggle between sorting options.
