We’re always working behind the scenes to make Doulado more powerful, flexible, and supportive of your day-to-day needs — and we’re excited to share some of the newest updates we’ve rolled out! This round of improvements includes new team permissions, claims and billing updates, enhanced messaging and note-taking tools, and practical invoice features and fixes!
Whether you're running a team, managing claims, or supporting clients on your own— these updates are designed to streamline your experience and give you more control across the board.
#1 Team Permission Changes and Features
- Ability for Contributors to Archive: Contributors on teams now have permission to archive and unarchive clients profiles to help with adminstrative tasks! This action can be found in the Quick Stats section inside the client profile. The archive can be located at the bottom right of the main client list.
'Remove Team Member' Changes: Previously, when a doula was removed from a team, any clients still assigned to them remained visible in their personal client tab. To give team owners greater control, we've introduced a new setting: Now, when removing a doula from your team, you’ll be presented with the option to either revoke or retain their access to assigned clients.
By default, access to those assigned clients within that team will be removed. However, a checkbox is now available during the removal process that allows you to preserve their access to those client profiles, if needed.
You will see this message when clicking the "remove" icon in manage team settings next to a team member's name.
Billing Status Permission for Participants: Team owners now have the ability to control which billing statuses are visible to participant-level team members when viewing the visit log. These permissions can be customized to fit your team’s workflow and privacy preferences.
You can choose from the following visibility levels:
- Not restricted – Full access to all billing statuses (default setting)
- Disabled – No access to billing status information
- Up to Unbilled – Can view/edit billing status: unbilled
- Up to Ready – Can view/edit billing status: unbilled and ready
- Up to Billed – Can view/edit billing status: unbilled, ready and billed
To update these settings, go to the Visits page under the Billing tab, then click Settings at the bottom right of the visit list. From there, you can define what the participant role is allowed to view/edit in the billing status.
- Searching Team Members: To assist with our larger teams, we have added a few filtering options in the Manage Team window under Members. There is now a search bar, role filter, and status filter available in order to find members quickly in larger organizations.
#2 Claims Improvements
Auto Recharge Funds: To help prevent claim submission or automatic eligibility check errors caused by a $0 balance, we’ve introduced an Auto Recharge feature for your funds account. This new option allows your balance to automatically refill when it drops below a specified threshold—ensuring smooth claim submissions without interruption.
You can enable Auto Recharge when adding funds to your account. In the Add Funds dialog, simply enter the amount you'd like to trigger an automatic top-up, and select your preferred payment method. Once your balance dips below the set amount, the system will automatically recharge it for you. This feature helps maintain a seamless billing workflow by avoiding delays due to insufficient funds.
If you do not add any number in the "Recharge At", then your funds balance will not auto-recharge and you will simply add the "amount" to your funds balance upon saving. If you enter "$5" in the "Recharge At" field, it will auto re-charge the "amount" you list when your balance dips to $5.
- Enrollment Banner: A new banner will appear when requesting enrollment with a payer. This will provide a notification before enrolling about the fees associated with submitting claims, ERA, and eligibility using Doulado.
Reminder: If you'd like to submit claims through Doulado, there is a $1 processing fee per claim. Eligibility verifications and ERA transmissions are also available at $1 each, but these features are completely optional—you can still submit claims without using them.
Eligibilty enrollment required: If a payer requires eligibility enrollment (as noted in your Claims Dashboard), and you are not yet enrolled, an error message will appear if you try to perform a "real-time check" prompting you to complete the enrollment process.
To request eligibility enrollment, simply click the finger icon next to the payer's name in your Claims Dashboard. If “Eligibility” is listed in the Enrollment column for a payer, it means enrollment is required before eligibility checks can be completed in Doulado.
#3 New Messaging and Notes Functionality
- Message Updates: Our messaging function has been upgraded to provide for better communication and customization! See a list of the changes below:
- Addition of text formatting
- Ability to add a conversation name/ subject
- Easily message 'All clients' or 'All team members'
- Starting an "all" message: From the message center icon in the top right next to the main menu, you can select "+ thread", and enter in the details for your 'all' message by adding a subject/topic, selecting if it is for all clients or all team members, and from which team! By default, the message thread is "locked" meaning you are not allowing replies to that thread, or you can uncheck that box to allow all receipients to respond in that thread. When messaging "all clients", it will send that message to all of your clients in a "lead" or "active" status.
If replies are "locked", this is an example of what the client would see when viewing the message.
Message formatting: You asked... we delivered! 🎉Get ready to jazz up your client messages—because message formatting is officially here!
You can now bold, italicize, underline, add bullets, colors, even drop in a picture if the moment calls for it. Whether you're replying to a message or writing a brand new one, just click into the text box and watch the magic happen. Your inner document editor is now free to shine—go ahead, format to your heart's content!
Note Formatting: And don’t worry — we didn’t forget about Notes! Note formatting just got a serious upgrade. You can now add bold highlights, italic emphasis, underlines, and even bullet points to your client notes — because your documentation deserves to be just as clear (and stylish) as your care.
Whether you're jotting down visit recaps or organizing key info, your notes can now reflect your voice and workflow more than ever. More clarity, less clutter — and a whole lot more ✨you✨.
#4 Invoice Upgrade and Fixes
- Percent-Based Products: You now have the ability to add percentage-based line items directly to your invoices! This new feature was designed to offer greater flexibility for common adjustments, and can be used for things like:
- Taxes – Easily apply a sales tax as a percentage of the total invoice
- Discounts – Add percentage-based discounts without needing to calculate amounts manually
- Credit Card Fees – Add processing fees transparently if you desire
Simply create a new service in your Billing>Services section, and select the Percent(%) option, and Doulado will handle the math for you when you add that to an invoice as a charged service— making your invoicing faster, more accurate, and easier to customize.

- $0 Invoice: Our tech gurus spotted a bug when trying to create a $0 invoice. Before to create this invoice you would have to originally save it and then open it back up for the 'Send' dropdown to be available. This has been fixed so that you can send $0 invoices without the extra step!
#5 Miscellaneous Additions
- BIlling Status View: After recently introducing the billing status option in the visit log, some doulas shared feedback that they were not using this feature and it was causing confusion. We have added an option under Billing>Visits>Settings to hide this status column if you'd like. It will default to on, but can be edited at the bottom of the visit log by solo providers, or team owners.
- Telehealth Guests: Previously, telehealth visit links were designed for one-on-one use between a doula and a client, which could create limitations when a guest tried to join using the same link. To support more inclusive visits, we’ve updated the links to allow multiple participants to join the same session. Guests can now enter the visit using the same link as the client, with the added ability to customize their display name—making it easier for clients and their support person to join together without interruption.
- Embedded Help Videos: If you look on the Templates page under Invoices and Appointments, you'll now find helpful videos recorded directly from our team! These videos will provide explanations of these tools and how they can be implemented into your account. Be sure to check them out if you haven't already set up these templates.
- SMS Opt-In and Portal Status: We have updated the client profile to provide better visibility of whether a client has decided to opt-in to SMS messaging, or has created their client portal. When a SMS request has been sent or an invite to create their client portal, the client's decision will now be reflected in their profile contact card.
- Gray= Not yet sent
- Orange= Sent, but pending account creation or SMS opt-in
- Green= Complete, opted in to SMS or created their client portal
- Red= Opted out of SMS notifications
- Canceled Events: We've updated the main Calendar to more clearly reflect events that have been canceled or missed. These events will now appear with a strikethrough in the title and a light grey color, making it easy to distinguish them from upcoming or completed events at a glance. Additionally, if your calendar is synced with Google, any events marked as canceled in Doulado will now automatically update to reflect that status in Google Calendar as well.
- Clickable links in event descriptions: Links put into a description of an event are now clickable, whether sharing the full link or inserting text over a hyperlink using our small formula. When adding a hyperlink, you can include the text in a bracket [text] with the link you want to appear within that text directly after it. You can see an example below in a description from the event summary shown to a client!

It is important to have no space between the text bracket and the full hyperlink!
