🥳Happy 2025! New year, new features! We’re excited to share the first round of updates that have been added to Doulado for the new year! These enhancements are inspired by your invaluable feedback and are designed to make running your business even smoother. From feature improvements to brand-new tools, this month’s updates are all about helping you manage your doula practice with greater ease and efficiency.
There is a lot of information in this article, so please read below for a detailed look at the new features and how they can elevate your experience with Doulado. 💥
#1 Booking Updates 👏
- Overnight Booking: Your clients are now able to book overnight appointments with the booking link. For instance, a timeslot set from 10:00 PM to 6:00 AM accommodates the scheduling of an overnight appointment lasting up to eight hours into the following day. This flexibility ensures that your availability aligns seamlessly with the unique scheduling needs of your clients, particularly for extended or overnight services.
With multiple providers showing availability for the overnight shift, the client would be able to choose who they are booking their overnight care with.
- Booking multiple appointments: This enhancement lets clients search for and select multiple event slots at once when booking. The goal is to make the process easier and more efficient, allowing clients to book all their desired appointments in one go, while keeping the experience smooth and simple. When they select that appointment date/time, it will save that selection, and then they can continue to select others. When they select "Book Appointments", they will notified of the amount of appointments they currently have selected to verify,
- Booking Notifications: When a new appointment is scheduled through the booking link, both the doula and the client (or lead) will receive an email notification with the event details.
- Ability to book again: When completing the booking, they will have an option to book another appointment from the same booking page if needed. If they select I'm all done, they will If they select book another one, they will be directed back to the start of that booking page to complete it again.
#2 Exciting Invoice Updates! 💯
- Invoice Revisions: You can now edit invoices that have been partially paid. In the main invoice list, if you click anywhere on the line, it will bring you to back to the page to edit it. If you want to view the PDF version of the invoice, there is a button on the line named "view PDF".
This update introduces enhanced flexibility for managing invoices, allowing for edits and updates to be made to partially paid invoices under the following conditions:
- The total invoice amount cannot be increased, ensuring consistency with the original agreed-upon total.
b. The due date of the invoice cannot be moved to an earlier date. The last installment must retain its current due date or be extended to a later date, maintaining fairness and transparency for clients.
c. The invoice amount cannot be reduced below the total amount already paid, safeguarding the accuracy of payment records and avoiding discrepancies.
These guidelines are designed to preserve the integrity of the invoicing process while granting flexibility to make adjustments when necessary. When an invoice has been partially paid, these conditions apply. If the invoice is "sent" but not paid or "approved" yet, then any changes can be made. This update aims to provide a more seamless and reliable invoicing experience for both administrators and clients.
- Package Details: This update enables the detailed listing of all services included in a package on the invoice, clearly specifying the quantities for each service. By breaking down the services into individual line items, clients and administrators gain greater transparency into the scope and details of the package. This ensures accurate tracking of each component and provides a clear breakdown of what is included in the packages being purchased.
You can edit your packages in the Billing>Services tab. When multiple services are added to a package, the service and quantity included will now appear on the invoice!
- Archiving Payments: This update now separates the archiving of a client profile, from their invoices and payments. When a client is archived, their payment records and earnings remain intact, ensuring that historical financial information continues to be preserved for reporting and reference purposes. The dashboard tile named "Invoice Earnings" still only includes all earnings for that calendar year, and will reset on January 1st each year. Any previously archived clients will remain archived, but their invoicing and payments will un-archive with this update.
We plan to add an invoice archive at a later date, for a way to remove invoices from your list when you choose. When you export payment information, you can choose the dates from the filter in order to accurate represent certain segments of time you are looking to track.
#3 Admin Updates
- Note Close Prompt: If you accidentally close out of a note without saving your changes, it will now prompt you to make sure you don't want to save. If you click on the x in the top right corner, or the bottom cancel without saving changes, the following prompt will appear.
This updated prompt applies to closing out a client note, visit note or an invoice without saving your changes!
- Paperwork Messages: When adding a message to a form or document to be sent to the client, this update now allows users to view the contents of the message sent within the email events section in the paperwork tab. This ensures greater transparency and control, allowing doulas to track and review the details of each message sent, including timing and delivery status. Follow the steps below to find the paperwork message after it has been sent!
Form Field Dropdown: When creating a field in the label templates, you can add optional presets similar to the example below. Then those presets will appear in a dropdown as choices when manually entering a new client or when editing the profile info in a client profile!
You can see the dropdown options below when manually entering a new client, and selecting a label with the form field attached! You can select from the preset options so that consistent answers are given.
If you later add the form field into the client's profile info, the dropdown with the added presets will appear there as well to keep consistent answers.
- Noting a Loss: There is now a way to keep track of a loss, while also noting how long since the loss. Whether you are a birth doula tracking the loss of a baby, or an end of life doula noting a loss date of your client, you can now enter a custom form field in a client's Profile Info section, titled "Loss Date" and enter the date in the value of that field. If there is a due date, and loss date is added, it will stop counting gestation, and start to count "days since loss". If there is a due date and delivery date, and loss date is added, it will stop counting baby's age, and also track "days since loss".
If there are neither a due date, or delivery date are entered, and loss date is added, it will track "days since loss".
- Updating Non-Client to "Network": The Non-Client name has changed to "Network" throughout the Doulado platform to better portray it's use. Use this section to input and store information about people who aren’t formal clients. You can also have separate Network lead forms that will create a new network profile when they are submitted. Your network profiles could include people such as:
- Doulas looking to join your agency
- Doulas contracted within your agency
- Local doulas you work with occasionally
- Doulas joining your mentor program
- Vendors you need to bill for services
The roles (or labels) for network profiles can be edited in your Templates>Labels section, by toggling to the Network tab at the top next to Client. Those labels can be added to a Network profile, and are needed in a Network lead form to label that profile.
- Network Profiles: Similar to a client profile, within a network profile, you can share paperwork for them to sign, send them messages, send invoices, keep track of certifications, create checklists, book visits, and more! Network profiles do not have access to a portal. If you want the doula to be able to view their network profile, you can assign them to it by "sharing the profile". Otherwise, they can not view notes, upload their own files, or see that checklist. When they are assigned to their network profile, they can view that profile in their network list (whether on a team or solo tab).
Sharing a network profile with a doula does not add them to your team. If you do want to move forward with adding that doula to your Team within Doulado, you can invite them in manage team settings separately. Alternatively, if they are already a team member, you can add a network profile for them separately if needed. They may need to approve the sharing of their information by accepting the link of their demographic information from an email notification.
#4 Efficient Visit Tracking & Calendar Settings!
- Visit Log & Visits linking: When using appointment presets and marking a visit as complete, the system can now automatically decrement the corresponding visit type from the client’s profile under the services tab. This ensures accurate tracking of service usage and maintains consistency with predefined visit limits.
- By reducing the visit count in real-time, administrators and clients can easily monitor service progress and ensure that visit allocations remain up to date. This streamlined process enhances efficiency and provides a clearer view of service utilization, helping to prevent overbookings and maintain accurate service records.
In order to automatically track your visits in the service tab of a client profile, you'll need to follow these steps to link correctly:
- Services: Update the services and package to mark each type of service to a unit, visit or hour in order to track correctly. Go to your Billing tab>Services, and click on each service to add a unit.
- Preset Appointments: In your Templates>Appointments tab, create new appointment presets or edit existing ones to link the service to the appointment type so it can be tracked!
Invoice & Services: Invoice a client for their desired services or packages. Once the invoice is paid (even partially), it will show up in the services tab so that you can automatically (or manually if not linked) track services as they are used from that invoice.
4. Schedule Visits: When you are scheduling a new visit for that client, be sure to select from the preset options in order to link that visit to the service that client has paid for. When the visit is finished, and marked as "completed", it will then remove that unit, visit, or hour from the service tab in their client profile!

- Busy/Free Status in Events: You can now choose to edit your status for an event if you just want to note something in your calendar, but are not technically busy at that time! An event marked as "busy" will block the calendar of the selected provider (or entire team if all team members is selected), whereas "free" will not block that time from other appointments.
- Calendar Settings: The calendar now offers flexible customization options to set how you view your calendar in Doulado. You can define event titles for clear identification, and different appointment types can be color-coded for easy distinction. Filter events by team or individual to improve coordination—choose to view team-wide events and/or others’ events from your team. On-call windows (for birth clients) can be managed to view the entire range, only the due date, or none at all if that applies. Viewing Team on-call windows provide visibility across the team, enhancing resource allocation and reducing conflicts.
The on call window is set to display in the calendar view with an automatic window of 38-42 weeks gestation for all active clients with a due date added.
Define Which Calendar: At the top, you can choose whether to apply these calendar settings across the calendars of all teams you are a part of, or only for the current team or tab that you are on!
These settings are only affecting how you personally are viewing your calendar, and do not affect how other team members view their calendar.
Event Title Format: Select what you would like to show as the event title in your calendar view. Selections allow appointment title, client full name, client first name and last initial, appointment title + client full name, or appointment title + client first name and last initial.
Event Color: You can choose what color to show for the events in your calendar. If you choose none, they will all default to the Doulado blue. The Client color can be found in their client profile, and edited under the quick stats>edit button in the top right corner of the overview section. The Team Member color can be assigned in the team settings, under manage team>edit. The Appointment Type color can be set in the appointment preset templates in the templates section>appointments.
Team Events: You can choose whether or not you would like to view team-wide events in your calendar. You can also select to view other's events. With other's events on, as a participant, you would see events scheduled with other providers with clients that are assigned to you. If you are a contributor or owner, you would see all events for clients on that team.
Your On Call Windows: With your on-call windows (for clients assigned to you), you can choose whether to not view them on your main calendar, view the full range (automatically 38-42 weeks gestation but can be customized individually), or only view the actual due date.
Team On Call Windows: With the team on-call windows, you can choose whether to not view them on your main calendar, view the full range (automatically 38-42 weeks gestation but can be customized individually), or only view the actual due date. For participants, they would still only see on call windows for clients assigned to them. For contributors and owners, they would see all the on-call windows for clients on that team.
#5 Claim Efficiency
- Facility Info Saved: When entering the facility information in Box 32 of a claim, it will now save your entries for future claims. When starting a new claim, and entering that information, a dropdown will appear with information you have previously used.
In the future, we will add the ability to also save the Facility NPI but currently those are 2 separate fields so the NPI will need to manually entered if needed.
