The Doulado Team has been busy creating game-changing features to make your work easier and more efficient, and the wait is finally over! 🎉 This latest release is bursting with exciting updates we know you've been waiting for, and are going to love. We can’t wait for you to dive in and explore everything we’ve added! Check out what’s new below and how everything works:
#1 Expense Tracking
We are really excited to add this feature to our platform! You are now able to track your expenses within Doulado. You can track the expense by category, client and amount. To access this feature follow the directions below:
- Find the Expense screen by navigating to the Billing tab and clicking on the Expenses section
- Click on +New Expense button to on the top right corner of the screen
- In the new expense window you can enter the information related to your expense
You can upload multiple receipts in this screen, or add the receipt later by clicking on the attach receipts icon in the main expense list.
- Once you have all the information entered you can then click save. For the category, you can choose from the default tax category options, or you can type a custom category into that space.
On the main expense screen you can see all of your expenses, and use the filter to search by description or category. You can also filter the list by date at the top right corner. At the bottom of the list, you will also see an export all option, so that your expenses can be exported as needed to use for tax purposes or to share with your accountant!
#2 Booking Link
A feature so many of you have been waiting for is officially ready, and we hope it is everything you've dreamed of! You now have the ability to create booking links to share with clients and leads! There are several different customization options for this feature. We hope you enjoy it as much as we do. To create booking requests follow the instructions below:
- Navigate to the Templates tab and select the Booking Pages section
- Click on the +New Booking Page button on the right
- Enter the required information then click save
- Name (this is only visible to the doula)
- Title (visible to client)
- Linked Lead Form (you can select the lead form you want the booking page linked with)
If no lead form is linked, and the client does not have a Doulado profile already, they will be asked to enter basic contact information to create a profile for them.
d. Client Portal (selecting this box allows this booking link to automatically be visible to your clients in their portal)
e. Description (this will show in the initial page to describe the type of appointments that can be booked or basic instructions you would like to provide)
- Once you have created your booking page, hover over the newly created page and select open then select Customize
- The next step is to add Appointment Types and Bookable Time Slots
- Adding Appointment Types
- When you select add/edit next to Appointment Types, a screen will open so you can select the appointment type for the booking link (multiple appointment type options can be added to one link)
- You can also adjust the time needed for this appointment
Here is an article on how to add preset appointment templates to your account
- After adding appointment types, you can also edit their name, duration, description and add location options by clicking on the appointment type
- The next step is to outline the timeslots in order to add availability options to your booking link. There can be multiple timeslots added, and multiple providers to one booking link.
- Provider Name
- Weekdays (when the weekday is highlighted in blue, it is "selected")
- Status (whether you are marking these particular days/times as free or busy)
- Start Time
- End Time
- Buffer Time (This is the amount of time, in minutes, you would like between scheduled events. If you do not need any buffer time, you can leave this space blank)
- Daily Limit (This is the maximum amount of appointments you would like booked in one day. If left blank, there is no limit other than time available)
- Maximum Days Ahead (The maximum number of days in advance that an appointment can be booked)
- Minimum Days Ahead (The minimum number of days in advance that an appointment can be booked. If left blank, same day appointments are allowed)
Once the booking link is created, and timeslots are added, you can send a direct link to clients, or embed the booking page into your site to allow leads or clients to schedule appointments!! Here is a full video on creating a new booking link, adding timeslots and what a client sees when scheduling a visit from your link:
You will receive an email notification when a clients schedules a visit with a link. Here is an example:
#3 Team Wide Events
Team owners are able to add an event that will be shown on every team members calendar. Currently team members only see the events that they are the provider on. This new feature will allow for owners to highlight team wide events such as meetings, workshops and community events across all of their team member's calendars!
When creating a new team wide event, the title is required and the event cannot be assigned to an individual client. When the "client" space is left blank, you can select "All Team Members" (at the top) from the dropdown to show that event across all calendars.
Only team owners can add, edit or delete team wide events. This feature only applies to teams, and not for solo providers.
#4 Services Update
The packages and services are now in two different tabs in order to separate the two, and help you better organize your service options.
When viewing the packages, if you click on the "xx services", the package will toggle open to show the services included in that package to easily view what is included. If you click on the name of the package, it will open up to edit that package.
#5 Provider Display Update
On a team account, the providers assigned to each client are now shown in the main client list in order to have a quick glance on the main screen. You can hover over the icons to show the name and role of each doula assigned to that client journey. You can also still search the providers with the "assigned to" filter at the top of the client list.
