We're excited to announce a new round of changes and updates to Doulado for the month of October! Please review this article to learn more about the recent updates, and how they work. As always, we appreciate all of our users' and their continued support and feedback as we grow Doulado, and make it all in one platform for your doula work! In this article you will find details about each new feature, and how you can utilize them!

Here are our recent updates:

#1 Categorize Label Groups

  • Link New Label Group to Service Type: When editing your labels in the template section, you can create a new label group and choose whether or not those labels can show as options on the lead form. When you create a new group, selecting an option from the service area dropdown will include these labels on the lead form, as well as provide access to templates associated with this service area. If you want the label (service type) to be available for clients to select on a lead form, they will need to be either labeled as Maternal Health or Home Health.

You may want to break up labels into various groups if they have different desired form fields associated with them. For example, for birth clients you may want to have fields such as due date, provider, birth location, etc. For a postpartum client, you may want to always have fields such as delivery date, pediatrician, feeding plan, etc.

  • Service Area: None: If you add a new group and select none, those labels will only be accessed by you and your team members to add as a label to a client profile. Some examples that may not be needed on a lead form for clients to select would be: Unassigned, Doula Name, Insurance Type, Grant type, etc.

#2 Additional Templates Support

  • Paperwork Message Template: You can add message templates within the paperwork sending section so that you can easily access a message you type frequently. When you are going to send paperwork to a client, on the last page where the message to recipient is entered, click on the magnifying icon in the bottom right corner to access message templates, and/or create a new one.

  • Share Templates With Team: If you are the owner of a team, you can choose to share that template with a team when you create it, so any team member sending paperwork to a team client can access and use that message as needed.

  • Recently Used Messages: Next to the template icon, you can click on the circle arrow icon to access recently used messages so you can use a recent message again. Click on either a template or recently used message to add to the box, and you can edit from there. If you click the icon at the end of the recently used message, you can choose to create a template to easily reuse in the future.

  • Visit Note Templates: With the same use and features as above, we have also added the ability to add templates and see recently used text in a visit note. When adding a note to a visit, whether directly in the calendar or from the visit log, you can utilize these template options to keep your information streamlined!

#3 Lead Updates

  • Lead Form Payments: Previously, if a payment is required to submit the lead form, and the payment fails, the lead does not come through to Doulado. We have changed this so that the lead is still processed and entered into your client list, and an outstanding invoice is created with a balance due based on the amount billed in the lead form. The client will come through as a lead, and show a balance in the client list as well as have a "due" invoice.

  • New Lead Email: When you receive a new lead within Doulado, the email notification the doula receives will now have more information about the lead within the email. The new lead email will go to all owners on the team, and will now include the lead's first name + last initial, their email address, and the form they filled out from your account.

#4 Administrative Updates

  • Filter Invoices: We have added additional filter options on the invoices tab to search by invoice status. You can now filter invoices by various statuses such as: Any Status, Draft, Sent, Open, Overdue, Paid.

The searchable filter at the top left of the invoice list is where you can search by client name or provider name to filter invoices.

  • Paperwork Filter: Within your clients tab, you can access all paperwork from all clients within that tab or team. You can now search that list by recipient (client), provider it was sent by, and who submitted or completed that paperwork! You can type any of those names you are searching for in the typable search bar at the top left of the list.

The status filter at the top right of the list can filter paperwork by: all statuses, draft, sent or complete.

  • Reminder Order: We added an “order” option to the “Due” column in Reminders so that you can sort your reminders/tasks by due soonest, due latest or leave as entered. If you click on the "due" column on the top, the arrow pointing up will order the reminders by due soonest-latest, arrow pointing down will order by due latest-soonest and no arrow highlighted will order by how they were entered!

  • Calendar Reminders for Doula: There is now an email reminder notification sent out to the provider (doula) when they have an event scheduled. The email is sent out 1 day prior of the event as a reminder. This reminder is sent to the provider regardless if you have set it to remind the client or not.

  • If you do not want to receive "next day calendar reminders", you can turn those off in your notification settings from the main menu
  • Canadian Postal Code (Client): When a client creates their account in the portal, the area for the postal code is now long enough for them to enter an accurate Canadian postal code (6 digit).

  • New Currency Options: We have added the following currencies to be supported in invoices within Doulado:
    • Japanese Yen (JPY)
    • Saudi Riyal (SAR)
    • New Zealand Dollar (NZD)
    • South African Rand (ZAR)
    • Mexican Peso (MXN)
    • Singapore Dollar (SGD)
    • Hong Kong Dollar (HKD)
    • Swedish Krona (SEK)
  • Non-Team Event Prompt: If you are on a team, you have the ability to view your assigned clients from that team within your personal clients tab. If you try to schedule a visit/event for that team client from within your personal clients tab, there is now a warning because that visit will not show up on the team calendar if you proceed from there. You can see what the warning looks like below when scheduling a team client visit from the visits tab in a client profile in your personal clients tab.

If that event needs to be accessible by the team owners, it needs to be scheduled from within your team tab.

#5 Invoice Updates

  • Customize Installments: We have added the ability for you to completely customize installment payments within an invoice so that each installment date and amount can be customized individually. There are some presets that include breakdowns of every week, every month, every 2 weeks, and every 3 weeks or you can add them as you wish!

Here is how to use the  custom installments:
  1. Start a new invoice
  2. Add the client info, invoice date, and services to your invoice
  3. If you would like to add a deposit, click on the blue box below deposit to edit the $ (If you would like to change the deposit date, you can change the invoice date at the top!)
  4. You can click on Due In... to select one of the default due dates, or click on the blue box below Due (Final) to edit that date. (That $ cannot be edited because it is the total due less deposit or other installments)
  5. To add installments you can click on Payment Every... to select one of the default options, or you can click the in the payment schedule to add a + new payment manually with custom dates
  6. Each time you add another installment, you can customize the date and the for that payment
  7. Once your payment schedule is finalized, you can add a note, and then choose to send the invoice to the client or leave it as a draft. (If you don't want the client to receive the email that an invoice has been created within Doulado, leave it as a draft)
  8. There is also now a box to give you an option to turn off email reminders about payments due. It is defaulted to be on, but can be unchecked to not have the email notifications go to your client. (If you choose to send the client the invoice, they will still receive the email that the invoice was created)
  9. When you are ready, click create invoice to complete!

  • Payment Reminders: By default, when sending an invoice the box will be checked to "send email reminders" to the client. If you uncheck this box, it will not send reminders 3 days before and 1 day after a payment is due to remind the client. If you choose to send the invoice to the client, they will always receive an email letting them know a new invoice has been created. If you do not want any email about the invoice to go to the client, keep the invoice as a draft.

You can apply an outside payment to an invoice in draft, and choose not to notify the client of they payment so that an email is not sent to them regarding that invoice.
